Bylaws

 BYLAWS OF the Staff Senate of Georgia Southwestern State University

 ARTICLE I — NAME AND PURPOSE

Section 1

Name: The name of the organization shall be Georgia Southwestern State University Staff Senate. 

 Section 2

Purpose: The purpose of the staff senate will be to act as an advisory body to the President and represent the needs, interests and concerns of the university staff.  The staff senate will also promote the development of staff and recognition of staff contributions and support for the mission of Georgia Southwestern State University. 

 ARTICLE II — MEMBERSHIP

Section 1

Eligibility for membership:  Regular, full-time employees with at least one year of service are eligible to serve.  Delegates are elected from each unit, based on the number of employees in the unit.  Officers are elected among delegates. Representation of each unit is based on the following employee membership levels.  10 employees or less = 1 voting delegate from that unit. 11-19 employees = 2 voting delegates from that unit. 20 or more employees = 3 voting delegates from that unit.

 Section 2

Resignation and termination:  Members should let the Staff Senate President know of any vacancies or changes by the next scheduled meeting.

 ARTICLE III — MEETINGS OF MEMBERS

Section 1

Regular meetings: Regular meetings of the members shall be held monthly, except during the summer months.  Meetings are held on the last Wednesday of each month.

Section 2

Special meetings: Special meetings may be called by the chair.

 Section 3

Quorum: Ten members represent a quorum.

 Section 4

Voting: All issues to be voted on shall be decided by a simple majority of those present at the meeting in which the vote takes place. 

 Section 5

Officers and Duties: There shall be five officers of the senate, consisting of a chair, vice-chair, secretary, treasurer, USG Staff Representative and the Director of Human Resources (non-voting member)

Their duties are as follows:

The chair shall convene regularly scheduled board meetings

The vice-chair shall serve in the absence of the chair

The secretary shall be responsible for keeping records of the senate, including overseeing the taking of minutes at all meetings, distributing copies of minutes

The treasurer shall be responsible for the finances of the senate.

The USG Staff Senate Representative shall represent the GSW Staff Senate at the USG Assembly.

 ARTICLE IV — COMMITTEES

Section 1

Committee formation: The senate may create committees as needed.  The nominating committee will be the only standing committee.
