How to Submit My Immunizations Records
ALL students must be immunization compliant even if you are an online student (never come to campus for anything) you must take the necessary steps to claim that exemption through Medproctor it is not automatic. Once your online status is verified you will be compliant. If your online-only status changes, you become incompliant. Status is verified on a semester by semester basis.
Important announcement: Effective Spring semester 2020. We are pleased to announce Med + Proctor, an electronic medical clearance platform, as our new innovative strategy to monitor and collect your immunization information. As you may or may not know, the Board of Regents of the University System of Georgia requires proof of immunization before students are allowed to register for and attend classes at Georgia Southwestern State University. Med + Proctor is HIPAA and FERPA compliant.
This new strategy of monitoring immunization compliance will streamline your clearance and help you avoid unnecessary holds that prevent registration. This will allow you to focus on other important matters as you prepare for your successful tenure here at Georgia Southwestern State University. PLEASE DO NOT MAIL, FAX, or EMAIL YOUR IMMUNIZATION RECORD TO THE UNIVERSITY. You must upload (scan or take a picture) ALL forms to the Med + Proctor site. Please wait to submit your immunization information until you have been assigned a GSW radar email address.
First, you will need to have access to your radar email account. Then register within the Med + Proctor site by visiting Med + Proctor; click “register” to start a new account. The website is user-friendly and instructions are easy to follow. Simply complete the required information, ensure your immunization forms are fully completed, stamped and signed by your medical provider. Then simply upload your forms to the Med + Proctor site. All students must submit the Required Proof of Immunization prior to their first semester on campus. This only needs to be submitted once.
There is no charge for this service, though you have the option to purchase a membership which will provide lifetime access to your immunization data that can be shared with others, as you designate.
Students with questions about this process are encouraged to contact MedProctor directly, utilizing the “live chat” feature they offer. You may also contact 229-931-2235 with specific questions regarding GSW requirements.
Students who do not have a "verified" status on file at MedProctor will incur a hold on their ability to schedule for their next semester of classes at GSW. We encourage all students to upload the required documentation prior to the first day of classes. Students must watch their radar email account for important communications regarding their status with MedProctor.
Once you have submitted your immunization records to Med + Proctor; we will review them for compliance and communicate a successful approval or any needed action items through your radar email. It is important that you are checking your MyIIT email portal for communication should you be out of compliance and need to submit any additional forms. You can also check the status of your account by clicking on the STATUS or MESSAGE tab at the top of your Med + Proctor; page. We encourage you to submit your information as soon as possible. It takes 2-4 business days to be verified after you have completed this process.
Please remember that an immunization HOLD will be placed on your account, preventing registration. Please start this process as soon as possible to ensure there is no delay in registration.
Immunization Policy
- Students are expected to update their immunization records in MedProctor no later than the first week of classes.
- A registration hold will be placed on your account if there is not a valid or updated Immunization Verification Form on file for you and/or if you have been deemed "Non-Compliant."
- Registration holds will be lifted once you are determined to be in compliance with the Board of Regents and the GSW immunization requirements.
